BIC Events & The Big Birthday Blitz — Booking Terms & Conditions

1. Scope
These terms govern all bookings made with BIC Events Ltd, including The Big Birthday Blitz (TBBB) and bespoke event planning services. By placing a booking, you confirm that you have read and accepted these Terms & Conditions.

2. Ticketed Events (The Big Birthday Blitz)

A. Payments & Confirmation

  • Full payment is required to secure your seat.
  • Tickets are non-refundable and non-transferable unless otherwise stated.
  • Confirmation of your booking will be sent via email after payment.
  • A digital Guest Access Pass will be issued approximately 4 weeks before the event.

B. Age Requirement

  • The event is strictly for individuals aged 21 and over.
  • BIC Events reserves the right to request valid ID at the event entrance.

C. Minimum Numbers

  • If the minimum number of attendees required to deliver the event is not met, BIC Events reserves the right to cancel or amend the event format. Affected customers will be offered a full refund or alternative arrangement.

D. Booking Amendments

  • Name changes are allowed up to 27 days before the event, subject to availability and written notice.
  • Only one celebrant per group/table is entitled to celebrant perks (photo feature, cupcake, birthday sash, birthday signage).

E. Party Conduct

All guests must:

  • Adhere to health and safety regulations at the venue.
  • Refrain from bringing in outside food or drink.
  • Behave respectfully and in accordance with venue rules.
    Guests failing to comply may be refused entry or removed.

3. Event Planning Services

A. Deposit & Payment

  • A non-refundable deposit of £200 is required to secure your event planning service.
  • The balance will be paid in agreed instalments or as a lump sum, depending on your package.

Late Bookings

  • Events booked within 6 weeks of the event date must be paid in full immediately.

4. Cancellations & Force Majeure

BIC Events reserves the right to cancel a booking under the following circumstances:

  •  Minimum Capacity Not Met: If the event does not meet the required minimum number of bookings, a full refund will be issued to affected ticket holders.
  • Venue Unavailable (Force Majeure): If the event venue becomes unavailable due to circumstances beyond our control (e.g. natural disaster, government restrictions), we will attempt to reschedule the event. Where rescheduling is not possible, a partial refund will be offered, minus non-recoverable costs already committed.
  • Client Misconduct or Breach: If the client or any associated guest engages in behaviour that may damage the reputation of BIC Events or violates any terms of this agreement, we reserve the right to cancel the booking with no refund.

BIC Events will not be held responsible for third-party costs such as travel or accommodation under any of these circumstances.

5. Dietary Requirements

  • Dietary restrictions and allergy information must be submitted at least 3 weeks prior to the event.
  • While every effort is made to accommodate allergies, we cannot guarantee an allergen-free environment.
  • It is the booking client’s responsibility to confirm guest dietary needs.

6.Data Protection & Privacy

  • BIC Events complies with the UK GDPR and all applicable data protection laws.
  • Personal data is collected only for the purpose of managing bookings and communications.
  • We do not sell or share your data with third-party marketers.

7. Card Fees & Payments

  • A 2% processing fee may apply to corporate credit card payments.
  • No fees will be added for personal debit or credit card payments.

8. Changes to the Event

  • We reserve the right to make changes to entertainment, menus, or timings due to supplier issues or unforeseen circumstances. All substitutions will be of equal or greater value and quality
